Which one to use
Phone for anything that has stopped work: the server is down, every computer shows a connection error, a screen shows a ransom message, or the hosted system will not load for anyone. The form for anything that can wait a few hours: a server to plan, a hosting move to scope, a new workstation, a backup that needs testing.
It speeds things up a great deal to mention three things in the message or on the call. Is it one computer or the whole office? What exactly does the screen say? What changed since yesterday, such as an update, a new router or a new internet provider?
Planning a hosting move or a new line?
Write first. The city's Dublink Transport is not an internet provider; it links a building on its route to the provider the business chooses, so the useful facts to send are the building, the current internet provider and the number of computers. The city describes Dublink as a 125-mile, 100 Gbps network offered to businesses at no cost, which is worth knowing before signing a new internet contract. The answer comes back with the questions that decide between a local server and a hosted one, and the line test to run before anything is signed.
A short note is enough to start. Nobody needs a diagnosis in the form; the details come out on the callback.
What happens after you send it?
A reply by phone or email to the details given, from the person who will do the work. For anything urgent that arrives by form, the reply is a call. Nothing is installed, changed or connected without the practice agreeing first, and nothing is quoted until the setup has been seen. Remote sessions start only when someone in the office has accepted them.
What the form keeps is on the privacy page. Who answers is on the about page.
